Creating an E-mail Merge Output Process
Follow the procedure in this section to define an email merge output process in which a query provides the merge data to be combined with an email template to create the output.
Notes
- You must associate a query that contains a field with the email addresses of the recipients and the sources for any fields you use in the email. The query must be stored in the CORE.
- Email merges that will be used for Campaign Management inserts must use either the Contact (not CSContact) or the Prospect (not CSProspect) business object as a source.
To define an e-mail merge output process
- From the module in which you want to make the email merge available (Marketing or Opportunity), select Generate Reports.
- Browse to (or create) the folder in which you want to create the email merge.
- From the drop-down list, select Email Merge and click New.
The Email Merge window appears.
- On the Summary tab, enter a Name and Description for the email merge.
- On the Sources tab, perform the following steps.
- Select your query preference.
- Locate the query in the CORE.
- Enter the email address of the sender. You can specify that the user modify the sender email address at runtime.
Note: The From address must be a valid email address.
- Select Edit to specify the columns for the recipient email address information.
Note: The Recipient List field is disabled until you define a query or when you specify a query. If you selected the Modify field at runtime option, you must select the columns for the recipient email address information at runtime.
- Enter the subject of the message.
Note: You can specify that the user modify the subject of the email at runtime.
- Enter the body of the message. You can also upload an existing email template from a local folder or select a template from the CORE.
- (optional) In the Attachment area, click … to choose a document attachment for the email from the Central Object Repository.
- Save your settings.
Note: If your merge produces any email address duplicates, they result from the query specified in the merge.
