Creating Subscription Products

The first step in managing subscriptions is to create product codes of type SUB on the Set up products window for each potential subscription-type product for which you intend to bill, or for products for which your organization collects money.

Product Type

A specific code for an individual product.

SUB This product is used for optional subscriptions such as journals and magazines. This product type would not appear in the Set up customer types window, because SUB items are optional. After a member has subscribed to this product type, iMIS allows you to automatically bill for initial fees and renewals through cycle-definition rules. A SUB product type in Dues is used with the PUB product type in Advanced Subscriptions.

Code

Use this field to enter a unique code that identifies the Product Type. The code entered should not contain any spaces or special characters other than an underscore (_), and should contain no more than 15 alphanumeric characters. This code can be used in the Billing Codes field on the Set up customer types window.

Title

Use this field to enter a descriptive title of the Code. This title displays on the member's dues bill and other data entry windows.

Desc

(Optional) Use this field to enter a detailed description of the product.

Standard Price

(Optional) Unless the billing interval is overridden in the Renewal Months field, the dollar amounts entered for the products should be in agreement with the standard billing interval set in the Set up general options window. For example, the rate for a product is $120.00 per year. Enter the flat rate of $120.00 when the standard billing interval is 12 (every 12 months or annual), $10 when the interval is 1 (once per month), and $240.00 when the interval is 24 (every 24 months or 2 years).

You can enter different rates for members and nonmembers.

G/L Acct

(Optional) Displays the General Ledger account that will be credited when the payment is received or when the income is recognized.

Pay Priority

(Optional) Determines the order in which payments are applied to multiple dues product lines. This can be used to sort the line items on a dues billing notice or renewal. A lower number has a higher priority than a larger number. For example, a product with priority 1 will appear on the payment and renewal list before a product with a priority of 2.

Deferred

(Optional) Specifies the deferred income balance sheet account that should receive the credited amount. This features is available only when the system is licensed for the add-on Deferred Income module. A deferred income account should be entered if the income for this product type should be deferred and recognized during the membership or subscription term.

Renewal Months

(Optional) Indicates the number of months the dues product type will be renewed for when payment is received. This number will override the Standard Billing Interval set in the Dues General Setup window if the product is being billed on a non-dues cycle. The product's standard billing interval will be used only for pricing determination on the dues billing cycle.

For example, an individual purchases a journal subscription as of 9/01/1999. The journal is set as a product with a rate of $45.00 for both members and nonmembers, with Renewal Months set at 60 months (five years). On a non-dues billing cycle, the journal line item will be billed for $45.00 with a paid thru date of 8/31/2004.

Prorate

(Optional) This feature provides a drop-down list of prorate rules that were defined through the Special Pricing window. Prorating allows reduced rates for new members/subscribers who join during the annual membership term.

Subscription Info button

Used to open the Subscription Information window where you can enter zone and postal sort information. This button displays only when you are licensed for Advanced Subscriptions and the Product Type is SUB.

Special Prices button

Used to open the Special Pricing window where you can define pricing rules for products.

Prorate Rules button

Used to open the Prorating window where you can specify an amount to an activity or product that is proportional to some base.

From Billing, select Set up module> Products, select a SUB product, and click Subscription Info

Zone Table

Zone Use this field to enter the code for the zone table used for this publication. The Edition Size report will report the Zone.

Postal Sort

Use Multi-Level Postal Sorts Enable this option if the Single Mail Code or Multiple Mail Codes option have been activated on the Customer Setup – Address and Notes window (from Customers, select Set up module> General, and click Address and Notes).

Min Quantity for Group Use this field to enter the minimum number of labels that must print.

Use Carrier Route Sort Enable this option if you are using Accumail and populating Name_Address.CRRT.

Print Bag Tags Enable this option to print bag tags.

Bag Tags Line 2 Use this field to enter the information you want printed on the bag tag.

Bag Tags Line 3 Use this field to enter the information you want printed on the bag tag.
