To assign access keywords to users

Now that you have defined the ACCESS_KEYWORDS values and assigned the keywords to the custom window tabs, you are ready to assign access keywords to the individuals who will be using the custom window tabs.

If a multi-instance custom window tab has an access keyword associated with it, only users that have the matching access keyword and a Customers authorization level of three or higher will be permitted to edit the tab; the tab will display in read-only mode for users who do not have the matching access keyword.

  1. Select File> System Setup to open the System Setup window.
  2. Click User Passwords to open the User Passwords window.
  3. Select the user from the Current Users field for whom you want to assign access keywords, and click Edit. If you are entering a new user, click New, and enter the user information.
  4. Enter an authorization level for each module to which the user has access. See Access Security Levels for a list of access levels.
  5. Enter the access keywords, if any, for this user in the Access Keywords field on the User Passwords window (select the Find icon to select a value). The access keywords grant the user access to areas of functionality associated with the designated keyword.

    Note: If you leave the Access Keywords field blank on the User Passwords window, create access keywords, and then apply them to the user-defined window tabs, the user will not be able to enter or edit customer address information or view activity records.

  6. Click Save.
  7. Exit iMIS.
