Managing communications

As a Campaign User, you have access to communications features that help you build messages to be sent to targeted contacts. In addition, you can run reports about a campaign or a portion of a campaign. These messages and reports are considered "output" and can be generated at any of the four campaign levels:

In addition, you can export source lists.

When you generate output, a Workflow Notification task is generated. This task verifies the validity of each source code before processing and generating output.

Generating output

The process to generate output is:

  1. Select a source list (the list that defines who receives the output).
  2. (optional) Add or delete a source list.
  3. Generate the output.

Before you begin

To select a source list

  1. From Marketing, select Generate reports in the Campaign Management area.
  2. Select a query.
  3. Click the Sources tab.
  4. Select a Source List.
  5. Select Run.
  6. If the results are correct, select Run.

    If you want to increase or decrease the items displayed, enter the desired campaign and/or appeal, and select Run.

To add or remove a source list

If you have editing security access, you can add or remove a source list for your output.

  1. From Marketing, select Generate reports in the Campaign Management area.
  2. Select a query.
  3. Click the Sources tab.
  4. Select a Source List.
  5. Click the Define tab.
  6. To add a source list, click Add Source and select a source.
  7. To delete a source list, click the Remove icon to the right of the source.
  8. Click Save.

To generate e-mail messages or MS Word merge documents

  1. From Marketing, select the campaign, appeal, solicitation, or source code for the message.
  2. Select Generate Reports in the Campaign Management area.
  3. Select the message or document.
  4. Click Run.
  5. From Campaign Management, select View Output.

To run a report

Campaign Management reports use information from the iMIS database to present useful information to stakeholders. To access Campaign Management reports, you must be assigned either to the Campaign User group or to the Reporting group.

Standard Reports are available when you first open Campaign Management. When you run a report, you might be asked to supply parameters (data required to run the report) or to choose options from a list.

To print Crystal reports (which includes both Print to Screen and Print PDF file to Screen), you must have the free Adobe® Reader® installed on both the server and your workstation.

To cancel a print job, you must have permissions on the print server.

  1. From Marketing, select the campaign, appeal, solicitation, or source code for the report.
  2. Select Generate Reports in the Campaign Management area.
  3. Select the report.
  4. Enter any required Parameters (data required to run the report).
  5. Click Run.
  6. From Campaign Management, select View Output.

Generating output for multiple source codes

When multiple source codes are processed in a single batch and output is generated, the process executes only once, and the lists from each source code are combined into a single master list.

Recording generated output

Contact log entries containing the following information are made when output is generated:

The Contact log writer cannot tell whether an individual member of a list was processed successfully by a source code's process engine. The output executor must verify that list members were not skipped.

For example, if a record in a list for an e-mail process has no valid e-mail address defined, the Contact log indicates that the individual was solicited even though the process was unable to e-mail the individual.

Regenerating output

Output can be regenerated only at the source code level. If output is generated at a level above source code, the same output is not regenerated for the same contact. The following rules apply for regenerating output:

Using queries to generate output

When a process is run independently of Campaign Management, the process uses the query in its definition to determine the set of generated records. When the same process is executed as part of a campaign's output generation process, the set of records is determined by joining the query with the campaign's target list to form a subset of records. If the process's query does not have records in common with the target list, then no output will be generated for that source code.

To export a source list

You can export source lists for use in spreadsheets or to transfer them to a third party, such as a fulfillment center.

  1. Select Generate Reports in the Campaign Management area.
  2. Select the export process.
  3. Click Run.
  4. From Campaign Management, select View Output.
