EXPOCAD Components

The following are the three main components required for using the EXPOCAD interface with iMIS:

iMISFind

This is a Visual Basic executable file. You must use the iMISFind application to log in to the iMIS database and retrieve records, and also to export them to the EXPOCAD Exhibitor database. Users must have at least a level 1 security for both Membership and Exposition Management in iMIS to use iMISFind.

To use iMISFind you must have an iMIS ODBC setup.

For an export to be successful:

You can find exhibitors (all from the Name table) using the following:

The Name and Company searches can be partial searches on a "begins with" basis. If you do enter a search value, a system message displays warning you that it may take a long time for the system to complete the search.

If an Exhibitor ID already exists in EXPOCAD, the system automatically compares the Group, Name, and Displayed Name. If any of the fields do not match the corresponding Exhibitor ID in EXPOCAD, the system automatically updates the record with the current information imported from iMIS.

EXPOCAD and ExpoCadExp file

The ExpoCadExp file contains the following information: rented booths, un-rented booths, booth number changes for rented booths, and booth class changes that involve aisle booths that occur in EXPOCAD. This file is updated by all booth activities from the EXPOCAD database. Each time a booth is rented, or un-rented, or when a previously rented booth has a number change, or a previously rented booth has a class change to/from aisle booth in the EXPOCAD database, the system writes transactions to the ExpoCadExp file.

The first time you open an event in EXPOCAD, the ExpoCadExp file is created in the same location as the EXPOCAD Master and/or Event Exhibitor database. The system uses the same file for all EXPOCAD events.

The iMIS Import will process records from the ExpoCadExp file into the iMIS Exhibition Management module.

iMIS Modules

To import and export information to and from EXPOCAD, you will use the following iMIS modules:

The EXPOCAD Import in iMIS imports records from the ExpoCadExp file to create or update orders. To use the EXPOCAD Import, you must enable Batch Control (AR> System Setup, click Batch Control, select a batch control option). A batch must be selected before any ExpoCadExp orders can be imported to iMIS Orders.

Before you import exhibitor records to iMIS, you can run an iMIS ExpoCadExp report that prints all records in the file.
