To enter an EXPOCAD order

  1. Select Expo> Order Processing to open the Exposition Orders window.
  2. Click Insert on the palette.
  3. Enter the Exposition Code and Tab to the Exhibitor field or press Tab three times to select an exposition.
  4. Enter the Exhibitor Id or press Ctrl+L to find an exhibitor's record in the database. The exhibitor's name and address information displays. If the exhibitor is not in the Member database, press Tab in the Exhibitor Id field to open the Name/Address Info window and add a record.
  5. (Optional) Enter the Date. The date defaults to the batch date if batch control is used; otherwise, the date defaults to the system date.
  6. (Optional) Override the Class code if necessary.

    Note: The following are three scenarios for defining Exhibitor Classes:

    • Let the Exhibitor Classes default to the M = Member or NM = Non-Member Types in the Member Types Table in iMIS Membership. Here, all exhibitors are either a Member or Non-Member based on their member record.
    • Map Member Types to Exhibitor Classes. Here, you map all or only key Member Types (such as M = Member, NM = Non-Member, and CM = Company Member).
    • Define your own Exhibitor Classes without using Member Types. Here, you must override the M = Member and/or NM = Non-Member status at order entry, entering the appropriate Exhibitor Class.
  7. Enter the Bill To information if it is different than the name and address that displays in the window, or press Ctrl+L and select a value.
  8. (Optional) Override the Bill To Address information, if necessary.
  9. To continue the order, select from one of the following options:
    • If the order will consist of booth products only, click OK to update the order. The Product and Qty will be imported from EXPOCAD.
    • If the order will consist of non-booth products as well as booth products, for example, a main registration:
  10. Double-click the product and enter a quantity in the Qty field.
  11. Click OK.
  12. Click Send ID to EXPOCAD.
    • If the event is set up in EXPOCAD, but EXPOCAD is not running, a message displays asking if you would like to start EXPOCAD now. Click Yes.
    • If the event is not set up in EXPOCAD, a message displays telling you that the Exhibitor ID could not be sent to EXPOCAD because the matching Event could not be found in EXPOCAD. Click OK. The event will need to be set up in EXPOCAD.
  13. In EXPOCAD, select File> Open to open the event you are registering for in iMIS.
  14. In the EXPOCAD – File Open window, highlight the event and click OK. Click OK on the system message. The event is now open in EXPOCAD.
  15. In iMIS, click OK when you see a message asking you to please click the Send ID to EXPOCAD button again to send the Exhibitor ID.
  16. In iMIS, click Send ID to EXPOCAD. A message displays telling you that the specific Exhibitor ID number has been sent to EXPOCAD.
  17. You can now assign booths to this exhibitor in EXPOCAD. See Renting Booths in EXPOCAD.
