Managing Opportunities
If you are an Opportunity Manager, an Opportunity Creator, an Opportunity Owner, or an Opportunity Administrator, you can perform all tasks in the "Using Opportunities" section.
If you are an Opportunity Owner, you can also edit your opportunities.
If you are an Opportunity Manager, Opportunity Creator, or Opportunity Administrator, you can perform the following actions:

Opportunity Manager Tasks
To create an opportunity
If no Opportunity Owner is specified, the creator of the opportunity becomes the default owner.
- From Opportunity, select Opportunity Management.
- From the Opportunity Type drop-down list, select an Opportunity Type.
- Click New.
- Define the opportunity and identify the prospect of the opportunity. Click the Prospect Lookup icon to search for a prospect in the iMIS database.
- (optional) Click the Source Code Lookup icon to select the source code associated with the opportunity.
- Click Save.
The Products, Subscription, and Distributions fields can be specified by selecting values from a drop-down list, if the underlying tables have been set up:
- For Sales Opportunity types, the Products drop-down list is populated by the members of the Products table defined in AR/Cash > Set up tables.
- For Member Opportunity types, the Subscription drop-down list is populated by the Products defined in Billing > Set up module which have the Product Types of SUB and DUES.
- For Donor Opportunity types, the Distribution drop-down list is populated by the Distributions and Premiums defined in Fund Raising > Set up Tables.
If the Prospect has one or more sales representatives or regional managers associated in relationships, these people will be assigned to the opportunity automatically.You can view the assigned salesperson and manager information by opening an opportunity and selecting Groups > Owner Roles.
Note: If a solicitor is designated for the prospect in the Donor Data tab of the Customers module, the solicitor will also be assigned to the new opportunity.
To edit an opportunity
You can make changes to the default settings for an opportunity when you create the opportunity. If you are the Opportunity Owner, you can make changes to the opportunity at any time. The options for editing are:
- Edit the opportunity summary
- Change the default action plan
- Bypass a stage in the action plan
- Add tasks
- Change the task owner
- Edit Opportunity security settings
- Edit Opportunity group roles
You can add new contacts to opportunity group roles. Before a new contact is added to the database, you will be notified of possible duplicates. At this point, you can continue or cancel the insert.
Contact records that are added from an opportunity follow the same data entry standards as records added through the Customer Portfolio, except:
- The system does not consider values for the Auto Assign Member Numbers, Institute Type, and Suppress Individual Name Fields for Company Records fields on the Customer Setup - Basic Options window in iMIS.
- The values for the Major Key Prompt, Must be Unique, and Flow from ID fields on the Customer Setup - Basic Options window in iMIS are not relevant.
- The system does not consider whether the Disable Auto Flow Down of Company Address Information field on the Customer Setup - Advanced window in iMIS is enabled.
To edit the opportunity summary
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Edit the opportunity:
- Click the Definition tab to edit general opportunity information.
- Click the Summary tab or the Definition tab and select the prospect's name to view or edit prospect information.
- On the Summary tab, scroll to the Related Opportunities area. Select an opportunity to edit a related opportunity for this prospect.
- Click Save.
To change the default action plan
You can change the action plan for an opportunity at any time. When the opportunity is in progress, the previous action plan's completed tasks are marked Completed. The incomplete tasks are marked Canceled and a log entry is created to indicate the action plan change.
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Click the Action Plan tab.
- Expand Action Plan Management.
- From the Abandon Current Action Plan and Replace with drop-down list, select the desired action plan.
- Click Update Action Plan.
- Click Save.
To bypass a stage in the action plan
When you bypass a stage, it is automatically marked Bypassed and is considered complete. All the tasks associated with the stage are marked Canceled and cannot be changed.
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Click the Action Plan tab.
- Expand Stage Management.
- From the Set Current Stage To list, select the desired current stage.
- From the Set Previous Stages Status To list, select the status of the stage to be bypassed.
- Click Update Action Plan.
- Click Save.
To add tasks
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Click the Action Plan tab.
- Click Add New. Complete the task information.
- Click Save.
The new task will appear on the task list.
To change the task owner
If you have access privileges, you can change the owner of a task to any Opportunity Owner.
- From Opportunity, select Tasks.
- Select the task.
- Click the Assignee Lookup icon to search for an individual or a group role.
- From the View drop-down list, select a view and enter the criteria. If you select All Contacts, you will see all Opportunity Owners in the iMIS database.
- Select an individual or a group role (Contact or Owner).
- Click Save.
- Close the Task Viewer window.
The original task window shows that the task is assigned to this owner. The task will appear in the new owner's task list.
To edit opportunity security settings
Opportunity security settings specify the access rights of participants.
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Click the Security tab.
- Select the desired access rights:
- Select Share (Everyone) to grant full control to all users.
- Select Private to grant full access to the Opportunity Owner and those assigned to perform tasks for the opportunity.
- Select Advanced to choose one of the predefined access settings or to select custom settings.
- From the Access Mode drop-down list, select the desired mode.
- (optional) Select a group role to add to the Current Access List.
- (optional) Click the Edit icon to edit the permissions of the group role.
Click OK. - Click Save.
To edit opportunity group roles
Opportunity group roles describe the responsibilities of participants.
- From Opportunity, select Opportunity Management.
- Select the opportunity.
- Select Groups.
- From the drop-down list, select the group role name (Contacts, Owners, Competitors if enabled, others).
- Click Edit Role Members.
- From the Select From list, select a view.
- Select the member to add to the Current Members list.
- (optional) Add a new member:
- Click Add New.
- Enter the information.
- Click Save.
- Click Save.
To delete an opportunity
When you delete an opportunity, the Opportunity Status changes to Canceled and the opportunity remains in the system for historical reporting purposes.
- From Opportunity, select Opportunity Management.
- For each opportunity that you want to delete, select the corresponding checkbox.
- At the top right of the opportunities list, click the delete icon (the red X).
