Expo System Options window

From Exposition, select Set up module, and click Options

Preferences

Delete Expo Definition on Close - Enable to delete all of an exposition's definition and function records upon closing the exposition.

If you do not enable this option, you can retain the exposition definition and summary records, which you will need when cloning expositions. The exposition is retained on the Set up an exposition window with a status of "C" for closed.

Copy Membership Type to Exhibitor Class - Enable to copy the customer type code directly to the exhibitor class code if you need to assign fees or group exhibitors at the customer-type level. All non-represented types map to the basic Individual Member (M) or Non Member (NM) classes.

You can override any system-assigned class on the Process booth orders window. If you want to use customer types to define your exhibitor classes, you can copy the existing customer types from the Set up customer types window to the Set up exhibitor classes window. For example, if you have a customer type (such as STU) for which you need to assign different product fees, enter that customer type Code on the Set up exhibitor classes window. You can select the customer types that you want to use only by entering matching codes for those types.

Enable Duplicate Order/Order ID checking - Enable to activate duplicate checking for exhibitor orders. When this option is enabled, and a suspected duplicate order is entered (either a Name/ID record or an order record), a window displays for verification of the record.

To verify that the record is a duplicate, double-click the line with the exhibitor's name on the popup window. This cancels the new order. You then can proceed with a new order and ignore the duplicate warning by closing or canceling the duplicate display window.

Wait Lists

The wait list feature allows you to add potential exhibitors to a wait list when an exposition product is sold out (maximum availability is reached). Potential exhibitors are added to wait lists in priority order as they attempt to purchase products (each exhibitor has priority over each succeeding exhibitor added to the list).

When other exhibitors cancel orders (or an exposition product is expanded), iMIS assigns an available exposition product to the first exhibitor on the wait list.

Note: Wait lists are applicable only for exposition products that have an entry in the Max Available field on the Exposition Product Detail window.

Enable Product Wait Lists - Enable to activate the wait list function for all exposition products that have an entry in the Max Available field on the
Exposition Product Detail window. When enabled, iMIS assigns an available exposition product to the first exhibitor on the wait list.

Choose from Wait List for opening - Enable to select exhibitors from exposition wait lists when additional exposition products become available (requires enabling the Enable Product Wait Lists option).

Activity Fields

Define the exposition-related data fields (three character, two numeric, and two date) that you want to map to exhibitor activity records when expositions are closed.

By mapping additional fields to exposition activity records, you extend the range of collectable exposition data. Data can come from either individual orders (such as user-defined fields) or from exposition definitions.

To display the mapped data on exhibitor Activity Detail windows, edit the EXPO product type on the Set up activity types window. Enter the UF field labels you want to display on individual activity records (these seven UF fields correspond to the Activity Fields on the Expo System Options window).
